Programme weeks and checkpoints

A workspace that runs a programme has a set of weeks, a schedule, and a list of checkpoints where a Facilitator reviews progress. All of it is on the onboarding site.

This page is for Facilitators and above. Founders see the same weeks and checkpoints without the review controls.

Where things are

Page in the onboarding site menuWhat it holds

All weeksEvery week with its Topics and interviews.

ReviewsCheckpoints, founder decisions, gates, pair-health reviews and programme settings.

Setup and Team progress are shown to Facilitators and above only.

Weeks

Open All weeks. The page is titled Programme weeks.

  • Each week is a card: Week 1, Week 2 and so on.
  • A chip marks This week. A week you have closed shows Closed.
  • Each week lists its Topics. A Topic carries a chip such as Continues or New this week.
  • Each interview row shows how many required checklist items are done.
  • The Topics card has New Topic for adding one.

Founders can work in any week that is open. A week is open unless a Facilitator closes it.

Courses follow the week

When a week is closed, its course shows as a locked card in the course catalogue, with a Locked badge.

A course is made of Sections and Lessons. A course can give them its own names, for example Week for a Section; otherwise the workspace's names are used.

The schedule

Open Setup and find Programme schedule. The table has one row per week with Starts, Due and Access.

  • Start date and Timezone, then Save schedule. The start date sets every week's dates.
  • Each week starts 7 days after the week before it, unless you change that.
  • Week N starts with Set gives one week its own start date. Later weeks move with it. The row shows Overridden; Reset puts it back on the schedule.
  • Add break week after Week N pushes the later weeks back a week. Remove one takes a break week out.
  • Close week hides a week from the founders. You are asked to confirm: the founders lose access to its Topics and course until it is opened again, and the schedule does not reopen it.
  • Open week now opens a closed week again.

Week 1 cannot be closed.

Team progress

Open Team progress.

  • Week status shows the required checklist items each founder has completed in their own interviews and, while Founder answers in Topics is on, in the shared Topic conversation. See Onboarding. Green means all done. Red means the week is due soon or overdue.
  • This week's checklist, by founder lists each founder's answers and deferred items.

Before the programme's start date the page says that week status appears once the programme has started.

Checkpoints

A checkpoint is a point in the programme where a Facilitator reviews the company's progress and records a verdict. The checkpoints come with the workspace's programme; each has a week, a title, review questions and the verdicts it allows.

Open Reviews and scroll to Checkpoints. Each checkpoint card shows:

  • its title and week, with gating when the checkpoint gates progress,
  • the latest verdict and summary, or Not reviewed yet.,
  • Review questions, each with the position it needs under Required:,
  • any open actions from the latest review.

Review a checkpoint

  1. On the checkpoint card, open Review this checkpoint.
  2. Choose a Verdict. The list holds only that checkpoint's own verdicts, for example Approved, Approved with actions or Hold.
  3. Write a Summary. It is required.
  4. Optionally add up to three rows under Mandatory actions and conditions. Each row has a kind (Mandatory action or Condition), the text, an owner, a review date and, optionally, the checklist items it holds.
  5. Optionally choose an Intervention (Continue, Change or Stop) and give a Reason.
  6. Press Save review.

A new review replaces the checkpoint's latest review. Earlier reviews are kept on record.

Actions from a review

  • An open action shows on the checkpoint card with its kind, owner and review date.
  • Press Mark done when it is complete.
  • While a Mandatory action that names a checklist item is open, that item cannot be marked complete.
  • On an action's review date, its owner and every Facilitator get a notification.

Private checkpoints

A checkpoint can be private. Its review is shown only to Facilitators and above and to the company's Founders. Everyone else sees Private checkpoint. in its place.

Founder decisions

Some checkpoints ask each Founder for their own decision, for example whether to continue. The card shows a Founder decision block with the question.

Who decides:

  • Only people with the Founder role decide. A Facilitator who is not a Founder reviews the checkpoint and cannot record a decision.
  • Each Founder records one decision: a choice from the list and an optional note, saved with Save my decision.
  • A Founder can change their decision until it locks.

Who sees what:

PersonWhat they see
A FounderTheir own decision only, until every Founder has decided. Then every Founder's decision.
A Facilitator, Admin or OwnerEvery Founder's decision at once, with pending for a Founder who has not decided, and the count "N/M founders have decided."
A Founder who is also a Facilitator or aboveEvery decision at once, as any Facilitator does. The Reviews page shows them the review controls.
Any other memberNo decisions.

When the decisions lock:

  • Once every Founder has decided, the decisions are revealed to all the Founders and lock. A Founder then sees their own decision read-only, with a line saying that every founder has decided.
  • A decision also locks once the checkpoint has been reviewed.
  • Once revealed, decisions stay revealed. Giving the Founder role to another person afterwards does not hide them again.

Removing a Founder's role while a decision is open can reveal the decisions, because the remaining Founders may all have decided. You are asked to confirm first, and the confirmation names the checkpoints. See Removing a Founder during a decision.

Gates

The Gates card on Reviews shows a status for each investment gate, worked out from the evidence recorded so far:

  • Ready: every linked checklist item is complete and the evidence counts are met.
  • Incomplete: something linked is not complete, or a count is short.
  • Requires judgment: a linked item is parked, a Founder chose not to continue or to continue with conditions, or an action or condition is open.

Each gate lists its reasons. A gate is never passed by hand. Snapshot assessment records the status as it stands, with the date.

Pair-health reviews

The Pair-health reviews card has one row per scheduled review. For each you can set the date, write a Private note and tick Complete, then Save.

The card and the private note are shown to Facilitators and above only.

Programme settings

The Programme settings card has two settings:

  • Confirmation counting: count customer confirmations by Distinct organisations or by Contacts.
  • Registration status: Not started, Registration ready or Registered.

Press Save settings.
