Onboarding
The onboarding site is where a company's founders start a programme: they meet their assistant, take a short tour, check what is already known about their company, and then work through the weeks. As a Facilitator you set it up and follow their progress there.
The onboarding site is a separate site from the app. It uses the same accounts and the same workspace.
Signing in
People reach the onboarding site by invitation. Accounts are for invited people.
- An Owner or Admin invites the person by email. See Invites.
- The person opens the onboarding site.
- A visitor who is not signed in is sent to the app's sign-in page.
- They sign in with the email address that was invited.
- They are returned to the onboarding site, signed in.
An invite link opened on the onboarding site is kept through sign-in, and the person joins the workspace once they have signed in.
Someone who belongs to more than one workspace is asked to Choose a workspace, and can switch later from the menu.
The setup gate
Until Setup has been run for a workspace, the onboarding site shows nothing else.
- A Facilitator, Admin or Owner sees the Setup page, whichever page they opened.
- Every other member sees one message: "An Administrator needs to setup your Onboarding before you can use the system." They can sign out.
Setup counts as done when the company Brain is chosen and the Week 1 Topic exists.
Run Setup
Open Setup. The form is headed Set up onboarding for the workspace.
- Company name. Setup names the workspace from it.
- The background fields for the company. What you write is added to the company Brain as starting context for the founders to check.
- Credit this background to: the founder the background comes from.
- Founders: who the founders are and their backgrounds.
- Staff and others: staff, advisers, pilot contacts and anyone else the programme should know about.
- Press Set up the site.
Setup then:
- chooses or creates the company Brain,
- creates the Week 1 Topic and its conversation,
- gives every member their own chat with the assistant, and read access to the Brain,
- adds the programme's agents,
- creates the Week 1 checklist and the programme course.
It is safe to run again: the button then reads Run setup again.
Who can run it:
- Running Setup needs a Facilitator or above.
- The first run creates the company Brain, which needs someone who can manage Brains. If you cannot, the page says so and an Admin runs the first Setup.
- If the programme's agents are missing and you cannot manage agents, the page names them and an Admin creates them.
After Setup
Once Setup is done, the Setup page gains more cards:
| Card | What it is for |
|---|---|
| Founders and positions | Mark the company's founders and set job titles. See below. |
| Week 1 checklist | Apply a checklist template to Week 1. |
| Programme schedule | Start date, week dates, break weeks, opening and closing a week. See Programme weeks and checkpoints. |
| Programme course | Add the programme course to the workspace. |
| Interview someone outside the company | Send an interview link to a person who is not a member. |
Founders and positions
The card lists every person in the workspace with two controls:
- a Founder switch,
- a Position field for their job title, with Save.
Founders record the founder decisions and review the company context. A Position is a job title and changes nothing else.
- The person who created the workspace is a Founder from the start.
- When nobody is marked, the card says "No founders yet. Mark the company's founders below: only Founders record founder decisions."
- Owners, Admins and Facilitators can change these.
- Switching a Founder off while a founder decision is open can reveal the decisions. You are asked Remove that person's Founder role? with the checkpoints named; press Remove and reveal or Cancel.
See The facilitator role for the rules.
Founder answers in the Topic conversation
A founder can answer a Topic's checklist in the shared Topic conversation as well as in their own interview. Those answers count toward that founder's own progress.
- Each founder's own messages are checked against the Topic's checklist. A quick run of messages is checked together.
- Only the author is credited. Another founder's words never count for them.
- Only founders' messages count, never a guest's or an agent's, and only in the Topic's main conversation, not a SideChat or an interview.
- An answer can mark an item done or partly done. It never marks one failed.
- A deferred item that is answered in full there is picked up again.
- Interview Answers are not written from the conversation; the item's progress is.
Founder answers in Topics, in Workspace settings, switches this. It is on by default; Facilitators and Admins can change it. Off, only interviews count and the conversation is not checked.
The menu
For a Facilitator, the onboarding site menu holds:
| Entry | What it opens |
|---|---|

| All weeks | Every programme week. |
| Reviews | Checkpoints, customer evidence and price reactions. |
| Brain | The company Brain. |
| Brain map | The Brain drawn as a map of linked records. |

| Context review | What is known about the company, to check. |
What a founder sees first
A founder who signs in after Setup is taken through four steps, saved as they go:
- Welcome: who is in the company, and a Meet the assistant button.
- The assistant: a first chat. It offers the tour.
- Quick tour: four cards.
- Context review, then the Home dashboard.
The tour
The tour starts from the assistant's chat: Show me around, or Start the tour. A skip link beside it goes straight on.
- There are four cards: a Topic, a Topic's goal and checklist, Findings and Sources, and where to find the assistant.
- Next and Back move between cards. A pill shows Tour · step N of 4.
- Skip tour leaves it. Pause | Resume later leaves it and keeps your place: Home then shows Resume tour.
- The last card leads to Context review.
Context review
Context review lists what is known about the company so far, one entry at a time. Each person reviews it for themselves.
- Looks right marks an entry as reviewed.
- Needs a change lets the person correct the fact or Add a caveat. A correction is sent as a proposed update to the Brain.
- Review later leaves it for another time.
Each entry shows its state: To review, Reviewed by you, Fact changed, Caveat added or Review later. A line at the top counts how many the person has reviewed. Other founders' marks show beside each entry.
If there is no starting context, a Facilitator sees a link to Open Setup.
Keeping a finding
On a message in a Topic, Keep as finding opens the finding with the message's own words. An AI suggestion for its title and wording then fills in, which you can edit before keeping it.
- The suggestion uses a zero-data-retention model, as founder content always does.
- If you have already started typing, or no suggestion comes back, your words stay as they are.
On a phone
The onboarding site works at phone width.
- The menu is behind the ☰ button at the top left.
- The side panel with the checklist and findings is behind the Panel button in the top bar. This is also the case on a tablet-width screen.
- The tour shows each card as a sheet at the bottom of the screen, and its wording points at the ☰ and Panel buttons. The sheet steps aside while the Panel is open.
- Setup uses the same ☰ menu. The Founders and positions table scrolls sideways.
