Trash

Deleting something in a workspace moves it to the workspace Trash. It waits there for the retention period, then is deleted for good. Until then it can be restored where it was, with the same name and number.

What goes to the Trash

  • Chats, files, docs, whiteboards and widgets
  • Communities and checklist templates
  • Applications, tool templates and interviews
  • Topic groups and Topics (channels)
  • Integrations and workspace connections
  • Courses and draft-only course items
  • Brains, Brain records and Brain tools
  • Groups and roles
  • Workspace agents

Some deletes stay permanent and never reach the Trash:

  • Quiz and link widgets. Their delete confirmation says so.
  • A personal key belongs to its owner's personal Trash, not the workspace Trash (see Your Trash).
  • System agents (Facilitator, Interviewer and the other built-in agents) and retired agents cannot be deleted.

Undo

Every move to the Trash shows a toast with Undo for a few seconds. Undo restores the item at once. A multi-select delete in the left rail asks once and shows one combined Undo for everything it moved.

Delete or Detach

Deleting something other items still use asks what to do with them first.

  • A Topic or channel with chats in it:
    • Delete with them: the chats go to the Trash with it and come back together if you restore it.
    • Detach: only the Topic goes to the Trash. Its chats stay and show a Deleted source marker.
    • The dialog names anything that cannot go to the Trash with it.
  • A workspace connection that integrations use: the integrations move to the Trash with it and come back together on restore. There is no Detach.
  • An integration whose connection is in the Trash shows Deleted source: point it at another connection to keep it working.

While an item is in the Trash

  • It reads as deleted everywhere: it does not appear in lists, pickers, @mentions or schedules, and it grants nothing.
  • An item with a unique name is renamed Name-DELETED so the name is free for a new one. Restore puts the original name back when it is still free; otherwise it keeps the suffixed name and says so.
  • A deleted agent keeps its original name in chat history. Its memberships and seats come back with it.
  • A course item or Brain record deleted on its own shows its parent, for example "in Brain Sales (in Trash)".

The Trash page

Open it from the 🗑️ Trash link in the Assets panel, or at /trash.

  • One section per kind, newest first in each. Large Trashes load a page at a time with Load more.
  • Each row: name and number, kind, the chat it came from, who deleted it, and when it is deleted for good (for example "deletes in 2d").
  • Restore: puts the item back where it was. An item cannot come back while its parent is still in the Trash: restore the parent first.
  • Delete permanently: deletes one item for good after a confirmation.
  • Empty Trash: deletes everything you may delete, after a confirmation that names the count. Items you may not delete stay.
  • A Brain needs its exact name typed before it is deleted for good, from the row or from Empty Trash. A Brain left untyped stays in the Trash.
  • Row states:
    • Deleting...: a large item (a Brain, course or Topic) is being deleted in the background.
    • Cannot delete: reason: something still uses it. It stays in the Trash and is retried later.

Who can do what

  • You see, restore and delete for good only what you could delete in the first place: the same permission as the delete (for example Manage agents for an agent, Manage connections for a connection).
  • Restoring a role needs every permission the role grants. Restoring a group with facilitators needs the right to grant the Facilitator role.
  • Empty Trash and Delete permanently are for people only. An API key counts as the person who owns it. Agents, guests and read-only seats cannot use them, and no agent tool reaches the Trash. The Facilitator can link you to the Trash page.
  • Restores and permanent deletes are written to the audit log.

Retention

  • Items stay 72 hours by default. Your platform operator sets the platform default.
  • A workspace Admin or Owner can set the workspace's own period in Trash retention on the Admin console's Workspace page: Keep deleted items for (hours), from 24 to 720. Use platform default clears it.
  • A change applies to everything already in the Trash. The Trash page states the current period.
  • The clock pauses while the whole workspace is in the Trash (see Workspace lifecycle).

Chats held by a deleted group

A chat gated by a group stays closed to everyone but Owners and Admins while the group is in the Trash.

  • Group in the Trash: the chat shows a notice. Restore the group to reopen the chat to its members.
  • Group deleted for good: the notice offers Release hold to Owners and Admins. Releasing opens the chat to everyone its Topic allows, agents included. The release is audited.

A deleted role gates no chat, so it holds nothing closed.

Your Trash

Your own deleted personal keys and connections go to Your Trash, under Deleted keys and connections in Settings > Keys & connections. Only you see it. It works like the workspace Trash: Restore, Delete permanently and Empty Trash. A key deleted for good is deleted with its stored secret.
