Who can do what
A quick reference for "can I...?" and "why can't I...?". What you can do depends on your role in the workspace: Member, Curator, Facilitator, Admin or Owner (Admins and Owners can also create custom roles). If something here says you need a role you don't have, ask a workspace Admin or Owner.
Widgets: polls, word clouds, sortboxes
- Creating a widget: any member who can see the chat can create one, as long as that widget type is turned on for the workspace.
- Why can't I add a word cloud (or poll, or sortbox)? The type has been turned off for this workspace, so it isn't offered in the
/menu. A workspace Admin can turn it back on in Admin > Plugins. - Closing, reopening or editing someone else's widget: only the person who created it, or someone with Manage Widgets (Curator, Facilitator, Admin, Owner). You can always manage the widgets you created yourself.
Chats
- Archiving or deleting a chat: the person who created the chat, or someone with Manage Topics (Curator, Facilitator, Admin, Owner). A plain Member can archive or delete only the chats they created.
Messages
- Editing a message: you can edit only your own messages. Nobody can edit an agent's message, not even a moderator.
- Removing someone else's message: Facilitators, Admins and Owners can remove (moderate) another person's message. Moderation is removal only; it never lets anyone edit another person's words.
Agents
- Why didn't an agent reply to my message? Every message goes through dispatch, which routes it to zero or more agents in the chat. Not every message gets an agent reply. To be sure an agent answers, @mention it. See Dispatch & performance.
Brains
- Creating a Brain: needs Manage Brains, which Admins and Owners hold.
- Why can't the agent use a particular Brain in this chat? A Brain is usable in a chat only if every group in that chat can read it. If one group in the room isn't cleared for it, the agent can't use it there. Ask the agent to list the Brains; it shows which are usable here and why the others are not.
Courses
- Authoring a course (create, edit, publish, archive): needs Manage Courses, held by Facilitators, Admins and Owners. Curators and Members do not have it.
Costs and spend
- Seeing what the workspace spends on AI: needs View Costs, held by Admins and Owners (the Spend page in the Admin console).
People and roles: adding a Facilitator, Curator or Admin
- Adding people to the workspace, removing them, or changing a role (for example adding a Facilitator or Curator): needs Manage Members, held by Admins and Owners.
